Dream Engine Pty Ltd as trustee for Spanger Family Trust, trading as Dream Engine (“we”, “us” and “our”), provides video production services. This policy explains how we collect, use, store and share personal information through our website, enquiries and production work.
We handle personal information in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply. Our government projects may also be subject to contractual privacy and security requirements.
Information we collect
Depending on how you deal with us, we may collect:
- Your name, email address, phone number, company, role and website address.
- Enquiry details, project briefs, correspondence, feedback and information needed to quote for and deliver a production.
- Photographs, video and audio recordings, interviews, participant details and material supplied for a production. Recordings can be personal information where someone is identifiable.
- Information about website use, such as pages viewed, referral sources, device and browser details, IP addresses, cookie identifiers and interactions with embedded videos.
We collect information directly when you contact us, complete a form, correspond with us or take part in a production. We may also receive information from a client, their representatives or other people involved in a project.
You can make a general enquiry without identifying yourself, or use a pseudonym where practical. We may need contact and project details to prepare a quote or provide our services. Please only provide information about other people where you are authorised to do so.
Some production material may contain sensitive information, such as health information. We seek consent where required by law and limit collection to what is reasonably necessary for the project.
How we use personal information
We use personal information to respond to enquiries, prepare quotes, plan and deliver productions, communicate about projects, manage our business records and improve our website and services. We also use contact details for marketing as explained below, and information needed to meet legal or contractual obligations.
For commissioned productions, we handle project material for the agreed production and delivery purposes, subject to the project agreement and any relevant participant permissions. This privacy policy does not itself give us permission to publish someone’s image or interview.
People and services we share information with
Information needed for a project may be shared with our in-house team, freelance editors and other production contractors, the commissioning client and people they authorise to review or receive the work. We limit sharing to what is needed for the relevant task.
We use the following services to help operate our business:
- HubSpot: customer records, enquiry management, marketing and website analytics.
- Help Scout: managing email enquiries and client correspondence.
- Dropbox: storing and sharing production files and documents.
- Vimeo: hosting, sharing and displaying videos.
We also use website hosting, security, analytics and embedded-content providers. These services may receive information when you visit our website or access shared content. Their handling of information is described in their own privacy policies as well as the terms that apply to our use of their services.
We may also disclose information where required or permitted by law, or with your consent.
Overseas handling
Some of our service providers store, process or access personal information outside Australia, including in the United States. Help Scout also lists service providers in the United Kingdom. HubSpot lists overseas support locations in the United States, Ireland, Germany, Singapore, Japan, Colombia, Sweden, France, United Kingdom, Belgium, Canada, Spain, Netherlands and India. The locations relevant to particular information depend on the service, account arrangements and features used.
Further information is available in HubSpot’s provider and location list, Help Scout’s provider list, Dropbox’s privacy policy, Vimeo’s privacy policy, Wistia’s privacy policy and Google’s privacy policy.
Our in-house and freelance editors are based in Australia. Their use of the services described above can still involve overseas handling of information.
Where applicable privacy law requires it, we take reasonable steps before disclosing personal information overseas to ensure the recipient handles it consistently with the Australian Privacy Principles. Contact us if you need information about the services or locations relevant to your project.
Cookies, analytics and embedded content
Our website uses Google Analytics and HubSpot tracking to understand website traffic and interactions. It also includes video players from Vimeo and Wistia and an embedded Google Map. These services may use cookies or similar technologies and receive information such as your IP address, device details, pages viewed and interactions with their content.
HubSpot can associate website activity with a contact record when a visitor identifies themselves, depending on the tracking and form settings. Video and file-sharing platforms may also record viewing activity.
You can block or delete cookies through your browser settings. Blocking cookies may affect some website features and does not necessarily stop all information being sent to an embedded service. Google also provides a Google Analytics opt-out browser add-on. Contact us if you have questions about tracking on our website.
For further information about customer records, email handling and privacy choices, see HubSpot’s privacy policy and Help Scout’s privacy policy. The other providers’ privacy policies are linked above.
Marketing emails
We send newsletters and promotional emails where you have subscribed or otherwise given consent, or where consent can reasonably be inferred in accordance with the Spam Act 2003 (Cth). Inferred consent depends on the relationship and whether you would reasonably expect directly relevant marketing from us. An enquiry alone does not establish consent to marketing.
You can stop marketing emails by clicking the unsubscribe link in an email or contacting info@dreamengine.com.au. We action unsubscribe requests within five working days. Unsubscribing from marketing does not stop correspondence needed to manage an enquiry or an active project.
Storage, security and retention
We store personal information in our business systems and the service providers described above. We take reasonable steps to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. This includes limiting access to people who need the information for their work. No internet transmission or storage system can be guaranteed completely secure.
Our retention approach depends on the type of information and why it is needed:
- Raw footage and working project files: our normal retention period is six months after project completion. A different period may apply where agreed with the client, required by law or a project contract, or needed for an ongoing permitted purpose. After that period, we review the files and take reasonable steps to delete personal information that is no longer needed.
- Completed videos: copies hosted or published for an agreed purpose may remain available while that purpose and the relevant permissions continue. These are not automatically removed after six months.
- Enquiries and customer records: we retain these for as long as reasonably needed to respond, manage the client relationship or meet record-keeping and legal obligations. We review retained information periodically and remove information that is no longer needed. Marketing contact details are subject to your consent and unsubscribe choices; we may keep a limited suppression record to respect an unsubscribe request.
- Financial, contractual and government records: applicable legal retention periods and project requirements take priority over the six-month production-file period. Commonwealth records are handled in accordance with applicable records laws and authorised retention, return or disposal requirements.
When personal information is no longer needed for a permitted purpose, we take reasonable steps to delete it or make it no longer identifiable, unless retention is required by law. Backup copies may take longer to remove through the relevant backup cycle. We take reasonable steps to protect those copies, restrict their use and remove them when possible.
Access and correction
You can ask for access to personal information we hold about you or ask us to correct it. Contact us using the details below and explain your request. We may need to verify your identity before providing information. We respond within a reasonable period and explain any lawful reason we cannot provide access or make a requested correction.
If your request concerns a production commissioned by another organisation, we may need to coordinate with that client to identify the relevant information and responsibilities.
