Delivering a Complex AGM Live Stream for Bunurong Land Council
Bunurong Land Council Aboriginal Corporation engaged Dream Engine to deliver the live streaming production for its Annual General Meeting, connecting members attending both in person and remotely.
Having delivered the previous four AGMs, our team understood the organisation’s requirements and the importance of a reliable, well-managed production.
The AGM combined formal governance requirements with cultural ceremony, live presentations, remote speakers and member voting, making careful planning and technical coordination essential.
Throughout the event, our focus was on ensuring that every attendee, whether watching in the venue or online, experienced the meeting as a single, seamless production.
The Challenge
Unlike a standard conference live stream, this AGM combined formal governance requirements, remote members, live presentations, audience participation and member voting. Each element needed to work together without disrupting the official proceedings, making careful planning and technical coordination essential.
One unique requirement involved the opening Welcome and Smoking Ceremony, which took place outside the venue before the AGM officially commenced.
Because many attendees were already seated inside and remote members needed to experience the ceremony live, we established a wireless camera feed from outside the venue, allowing the ceremony to be broadcast simultaneously on the venue screens and the live stream before seamlessly transitioning to the formal meeting.
Our Approach
Preparation began well before event day.
Working alongside the Bunurong Land Council team and the independent auditors responsible for member voting, we developed a production workflow that ensured every technical element supported the AGM’s governance requirements.
The production included:
- Live streaming to remote members
- Four-camera coverage throughout the meeting
- Live projection to the venue screens
- Integration with independent auditors managing member voting
- Remote presenters joining the meeting
- PowerPoint presentation management
- Video playback throughout the event
- Roaming wireless microphones for audience participation
- Recording the complete meeting for future reference
By managing every visual and audio source from a central production system, transitions between cameras, presentations, videos, remote speakers and audience questions were seamless. Our team also coordinated the roaming wireless microphones, ensuring members both in the room and watching remotely could clearly hear questions, comments and discussion throughout the AGM.
Supporting Reliable AGM Voting
Running the technical production for an AGM requires more than simply broadcasting the event. Every presentation, vote, microphone handover and remote contribution must support the formal governance process without delaying proceedings.
Working alongside the independent auditors responsible for managing member voting allowed each part of the broadcast to complement the formal governance process without becoming a distraction.
Because our team had already delivered multiple previous AGMs for the organisation, much of the production workflow had been refined over successive events, helping reduce risk while providing a familiar experience for organisers each year.
The Result
The completed production delivered a professional hybrid AGM experience that connected in-person attendees with members joining remotely.
By combining multi-camera coverage, live presentations, remote speakers, wireless outdoor coverage and reliable broadcast technology into a single production, Bunurong Land Council was able to conduct an engaging and professionally managed Annual General Meeting while meeting the technical demands of a complex governance event.
